How to use AI for email, meeting notes and summaries
AI saves the most time on the jobs you keep putting off. It also makes the quietest mistakes there, so each routine below has a check built in.

Emails you keep avoiding (the Inbox Rule)
Every inbox has the emails you have read four times and still not answered. AI is good at the first draft of those, which gets you past the blank reply box while you stay in charge of what is actually sent. Read it, change it, and only then send it.
Meeting notes into action items (the Meeting Rule)
Paste your scribbled notes and ask for a clean list of action items: who does what, by when. The trick is to make the AI flag gaps instead of inventing them: if no owner or date was mentioned, it should say so rather than fill one in.
Long documents (the Summary Rule)
Long documents are where AI saves the most time and can mislead you the most. A summary is only useful if it is true to the original, so ask for a summary together with a way to check it, such as pointing to where in the document each key point comes from.
Research tables (the Research Rule)
AI can lay out suppliers, tools or laptops side by side in a table in seconds. The catch is that prices and details go out of date and AI will not always know, so verify the details that decide your choice.
Jobs you repeat (the Template Rule)
If you do the same task every week, do not write the prompt from scratch every week. Turn it into a fill-in-the-blanks prompt and reuse it.
Keep private details out
Before pasting emails or notes, apply the Stranger Test and swap sensitive details for placeholders.
